Objective

Send portal invitations to property managers, staff, property owners, tenants, and contractors so they can access their respective Valix portals with their own credentials.

Prerequisites

  • You must be signed in as a Manager, Admin, or Master Admin
  • Your company profile must be set up
  • You need the email addresses of the people you want to invite

Step-by-Step Instructions

    Navigate to Users from the left sidebar (under Settings & Team).

    Click the Create User button in the top-right corner.

    In the Create User modal, fill in the following fields:

    • First Name and Last Name
    • Email: The email where the invitation will be sent.
    • Phone: Optional but recommended for tenant/contractor communication.
    • Role: Select one of: Manager, Staff, Owner (Landlord), Tenant, Contractor, Viewer.

    Click Create User. Valix will generate a temporary password and send a welcome email to the recipient.

    The new user appears in the Users table with their role badge. They must log in and set a permanent password on first login (Force Password Change is enabled automatically).

    To resend the welcome email (e.g., if they lost it), click the 3-dots menu (⋮) on their row and select Resend Welcome Email.

Troubleshooting Tips

Pro Tip:For bulk tenant invites after a data migration, use the Migration Hub → Send Portal Invites step. It shows all imported tenants with checkboxes so you can select exactly who to invite.
Note:Each role has a specific portal: Managers → /dashboard, Tenants → /tenant-portal, Owners → /owner-portal, Contractors → /contractor-portal, Investors → /investor-portal. Users are automatically redirected to their portal after login.
Note:Deleting a user soft-deletes their account (email scrambled for reuse, account deactivated). Their data is preserved for audit trails but they can no longer log in.
