Objective

Assign roles and create custom permission sets to control exactly what each team member can see and do in Valix — from read-only access to full administrative control.

Prerequisites

  • You must be signed in as a Manager, Admin, or Master Admin
  • At least one team member must exist in your Users list

Step-by-Step Instructions

    Navigate to Roles & Permissions from the left sidebar (under Settings & Team).

    Valix ships with 6 system roles (Manager, Staff, Landlord, Tenant, Contractor, Viewer). These cannot be edited but you can create custom roles.

    Click + Create Custom Role in the top-right.

    In the custom role builder, configure:

    • Role Name: A descriptive name (e.g., "Leasing Agent", "Accountant", "Maintenance Supervisor").
    • Permissions: Toggle individual permissions across categories: Properties, Tenants, Leases, Maintenance, Accounting, Billing, Reports, etc.
    • Each category has granular options like Read, Create, Update, Delete, Approve.

    Click Save Role to create the custom role.

    To assign the custom role to a user, go to Users, click the 3-dots menu on the user's row, select Edit Details, and change their role to the custom one.

Troubleshooting Tips

Pro Tip:Create a 'Read-Only Accountant' role that grants Accounting (read) + Reports (read) but blocks Properties (create/delete) and Tenants (create/delete). This is ideal for external CPAs who need to review financials without modifying data.
Note:Valix has 50+ granular permissions. The RBAC system is company-scoped — custom roles only affect users within your company.
Note:The Viewer system role is pre-configured for read-only access to Dashboard, Properties, Tenants, Leases, Reports, Violations, Documents, and Support.
