Objective

Extract 22 structured fields from a lease PDF automatically — tenant info, rent, dates, escalations, CAM, utilities — with per-field confidence scores.

Prerequisites

  • A signed lease PDF (multi-page supported)
  • The Gemini AI integration is active (default on all Valix deployments)

Step-by-Step Instructions

  1. 1

    Navigate to Leases and click + New Lease.

  2. 2

    Click Scan with AI at the top of the lease form.

  3. 3

    Drag and drop the lease PDF, or click Browse to select it. You can upload up to 3 PDFs (main lease + riders/amendments).

  4. 4

    Click Extract Fields. The scanner analyzes the document in 10-30 seconds.

  5. 5

    Review the extracted fields. Each field shows a confidence score (0-100%). Low-confidence fields are highlighted in amber.

  6. 6

    Correct any mistakes, then click Apply to Lease to populate the lease form.

  7. 7

    Continue with the normal lease creation flow.

Troubleshooting Tips

Pro Tip:For multi-document leases (main + riders), upload all files together. Rider terms take priority when they conflict with the main lease.
Note:Low-confidence fields (below 70%) are most commonly: email addresses, phone numbers, and escalation clauses. Always review these carefully.
Note:The scanner extracts: tenant name, company, email, phone, unit, lease dates, rent, deposit, guarantors, permitted use, escalation terms, late fees, rent schedule, CAM %, water %.
